This statement relates to the Great North Care Record (GNCR) website.

The Great North Care Record and this website is managed and run by staff working in the Academic Health Science Network – North East and North Cumbria, whose registered office is Room 2.13, Biomedical Research Building, The Campus for Ageing and Vitality, Nuns’ Moor Road, Newcastle upon Tyne, NE4 5PL. Our legal basis for processing personal data is public interests according to the charter.

Purpose of Statement

Great North Care Record is committed to looking after any information that you make available when you visit our website in accordance with data protection and privacy laws. This policy outlines what categories of information we retain and how we use it.

Collection of Personal data

Under the Data Protection Act, we have a duty to protect any information we collect from you.

Provision of personal data will be acknowledged as your acceptance of this statement and agreement to our collecting and using that personal data only as described in this statement. If you do not agree to this statement, please do not provide personal data to us.

Opting out of Great North Care Record

You can prevent your patient record being made available on the Great North Care Record by completing the opt out form on this website.

The information you provide will only be accessed by Newcastle Hospitals who manage the Great North Care Record on behalf of the region. They will remove you from sharing electronic records as part of the Great North Care Record. We urge you to read this information which explains more about what opting out means.

The information you submit is held securely and is only held for the purposes of opting you out. The information is deleted once it is retrieved by Newcastle Hospitals. The opt out is registered on the Great North Care Record’s Health Information Exchange.

What is personal information?

Personal data is information that identifies an individual.

Collecting personal information

We only collect and hold personal data provided by you in accordance with this privacy statement. This will happen if you:

  • Email us
  • Contact us via an enquiry form
  • Fill out a survey or other form with your personal data included
  • Request us to provide you with information at events
  • Join our regional Discourse network

Data will be retained for the length of the Great North Care Record programme.

We will ensure that all personal data you supply is held in accordance with the Data Protection Act 2018. We do share data among Academic Health Science Network staff where appropriate to deal with the information you give, for example, expressions of interest in projects outside of the North East and North Cumbria may be shared with other regional Academic Health Science Network teams. We may also provide colleagues from around the region, who are either directly, or indirectly working on the Great North Care Record programme who might have a legitimate business interest to contact you. We do not sell or otherwise transfer personal data to any other third parties.


Visits to Great North Care Record website

When you visit the GNCR website, the following information is received and stored on our web servers: details of your IP address, browser type and operating system; and the web pages you visited. This data is known as web server logs. We use this information strictly to analyse how our website is used by our visitors and we may archive this information in an anonymous form for historical records.


Our website use ’cookies’ which are text files placed on your computer when you visit a site which help us understand how you use our website. Cookies don’t collect personal data from your computer, only the data created by your browsing. We are keen to communicate our activities, views, latest news and points of excellence with staff, stakeholders and supporters. We do this by providing information through a range of online and offline channels including publications, events, press releases, social media and email.

In order to do this we have a database that contains personal data collected by Great North Care Record during the course of your relationship with our staff, stakeholders and supporters. We aim to keep your data up to date and welcome any updates to your details or corrections to any inaccuracies you may wish to provide.

You have a right to request copies of the data held about you by Great North Care Record (see Your rights above). If you no longer want us to use your data, or wish to amend the type of communications you receive, then you can opt out at any time by emailing and ask to unsubscribe from our database.

We value our relationship with you and we use your personal data to personalise our communications, improve our services and ensure we work efficiently and effectively.

Public Twitter data

Great North Care Record uses publicly available information, such as Twitter handles and hashtag usage, to target tweets promoting the work of Great North Care Record to relevant Twitter users.


We manage an online community of professionals and hold contact details such as name, organisation, email and job title. This information is held securely. Group members sign up and can leave the community at any time. Users are encouraged to set their own communication preferences. We may send information about the Great North Care Record, or details about related news and events to this community when we feel there is a legitimate business interest.

NHS App/ Great North Care Record

By accessing our service using your NHS login details, all identity verification services are managed by NHS Digital. NHS Digital are the controller for personal information provided to create an NHS Login account and associated identity verification. This information is used solely for that single purpose. Our role is as a “processor” only for this personal information and we must act under the instructions provided by NHS Digital (as the “controller”) when verifying your identity.
